Here are a few quick answers to the most common questions we get about recording vacation time (PTO) in WFC.

When is the vacation time charged against the employee’s bucket?

When time is taken, it is applied to the employee's time card and is deducted from the vacation time bucket in Kronos. The hitch is that vacation time set in the schedule may be set months in advance, so if an employee has time recorded in the schedule six months in advance

that time is deducted from their bucket now!

That means an employee may not be able to take vacation time today because it's recorded for the future. So manage that scheduled vacation time closely!

Will Workforce block a request if the employee doesn’t have the time?

Depends. Your Kronos application is configured based on your accrual policies. So if you find your employees are all in the negative in their vacation buckets, and your policy isn’t in line with that, it’s time to make some configuration changes!

Does vacation time count toward overtime, either weekly or daily?

No, but it can. In most every case in my experience this isn’t true. That being said, any pay code can be set so that it counts toward your overtime goal. Again, verify your policy and then find out if Kronos matches that policy. Chances are that in this case, it does.

Can Workforce Timekeeper provide one total for all of the PTO an employee has used?

Yes! They are referred to as Grand Total Pay Codes. Basically, several individual pay codes are selected and incorporated into one total. That Grand Total Pay Code will show totals on reports and in the timecard. It’s a great tool for tracking PTO time, all forms of overtime, and for unique pay codes like shift differential. If you aren’t using Grand Total Pay Codes, you may want to consider them. They may help you manage your time even better than you do now!
